Workspace Management
Organize content and members in separate workspaces
Workspace Management
A workspace groups diagrams, documents, presentations, brainstorms and sprint tools. Each workspace has its own members and settings. Being a member of one workspace does not grant access to another.
Create and open a workspace
- Sign in and open Workspaces.
- Choose the create action and enter a descriptive name.
- Open the new workspace to add content.
- Invite collaborators from Settings → Team.
The workspace creator is its owner. The application checks the account's workspace limit when creating another workspace and reports when the limit is reached. A plan name does not make workspace content publicly accessible.
Organize your work
Use separate workspaces for projects with different membership. Within a workspace, choose the relevant section for diagrams, documents, presentations, brainstorms or sprint work. Document categories organize documents in the same workspace.
Diagrams support flowcharts, BPMN and fourteen UML families. All UML diagrams in one workspace reference a shared model. Renaming a model element updates its referencing views; removing a visual placement leaves the model element available for reuse.
Manage access
The Team tab shows members and pending invitations. Owners and editors can invite an Editor or Viewer and revoke pending invitations. See Team Collaboration for role details and invitation expiry.
Workspace links remain protected by sign-in and membership. There is no public workspace directory, anonymous workspace mode, ownership-transfer control or automatic cross-workspace content move in this release.
Preserve content before deletion
Only the owner can delete a workspace through the API. Deletion removes its associated workspace data. Download the diagrams and other files you need before requesting deletion. A JSON export is a diagram copy, not a complete backup of all workspace features.
The self-hosted installation's database backups are operated separately from the editor. They are not a user-facing recycle bin or undo action.
